BirthdayRewind
Privacy policy
What we collect, why, who sees it and how long we keep it. In plain English.
BirthdayRewind is a UK business. This policy explains how we use personal information when you make a book on our website. We're the "controller" of that information under UK data protection law (the UK GDPR and the Data Protection Act 2018). Use our contact form.
What we collect
- Book details you type in: the person's name, date of birth (and time, if you add it), the town they were born in, who the book is from and any message. For baby books, any details you add such as weight, length, eye colour and family members' birth years.
- Your order: your email address, the delivery name and address, any gift note, how many copies, and your cover choice.
- Payment: handled entirely by Stripe. We never see or store your card details. We receive confirmation that you've paid, and a payment reference.
- How the site is used: simple counts kept on our own server (for example, that a preview was viewed or a share button was pressed), linked to the book rather than to you. We don't use Google Analytics, advertising trackers or social media pixels.
- Messages: anything you send us through the contact form, and fact corrections you report.
Why we use it
- To make your book and show you the preview (this is the service you've asked for).
- To take payment, print and deliver your order, and send you your PDF (to perform our contract with you).
- To answer your messages and put right any problems.
- To keep records we're required to keep by law, such as for tax.
- To understand, in general, how the site is used so we can improve it (our legitimate interest).
Who we share it with
- Stripe, our payment provider, processes your payment.
- Prodigi, our print partner, receives the book files, the delivery name and address, and your email address so that they can print and deliver your order.
- Our hosting provider stores the website and its data on a server in the European Economic Area.
We never sell your information or share it for marketing.
Your preview link
Your preview has a private, hard-to-guess web address. Anyone you share that link with can see the preview, so only share it with people you're happy to show it to.
How long we keep it
- Books that aren't ordered are deleted automatically after 90 days.
- Orders (including the book details) are kept for as long as we need them for your order, aftercare and our legal and tax records, normally six years.
- If you joined our waiting list, we keep your email until you ask us to remove it.
Children's information
Baby books include details about a young child. We only use these to make the book you've asked for, and they're deleted with the book (or kept with the order) as above.
Your rights
You can ask to see the information we hold about you, ask us to correct it, or ask us to delete it (unless we have to keep it by law). You can also object to how we use it. Use our contact form. We'll reply within one month.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
